What IS a Knowledge Organization System?

Is a taxonomy merely a list of terms, or is it something larger?

Many organizations assume that purchasing or generating a controlled vocabulary completes their metadata strategy. It does not.

A true Knowledge Organization System (KOS) is the entire operational framework that governs how vocabulary is deployed. Our mission is educational empowerment—we teach clients these methodologies so they can sustain and build on our work long after an engagement ends.

A complete KOS requires three core components:

  • The Controlled Vocabulary: Lean, standardized terms defined according to established international standards (ISO/ANSI).
  • The Usage Specification: Explicit rules defining operational context, polyhierarchy, and term relationships.
  • Ongoing Governance Procedures: Documented impact analyses and change-request workflows to ensure continuous oversight.

Taxonomies are never a one and done effort. Without documented rules of the road, a vocabulary rapidly degrades into unstructured data slop.

If your team is struggling to maintain its metadata structures, let’s connect privately. I’ll share our framework for sustainable governance.
